SAM HOUSTON AREA COUNCIL CONTINGENT
2009 PHILMONT TREK INFORMATION
• The following information is for all SHAC Scoutmasters, Varsity Coaches, Venturing Crew & Post Advisors.
• Reservation requests for the 2009 Sam Houston Area Philmont Expeditions will be accepted beginning on March 1, 2009 at the Camping Services Office, 2225 North Loop West, Houston, TX 77008. (Sam Houston Area Council Units only)
• The reservation request form may be mailed or “hand-delivered” to Camping Services faxed to 713-865-9125 or emailed to camping@shac.org. Attn: 2009 SHAC Philmont Contingents, % Kathy Bozarth, Camping/Program Coordinator (713/756-3303) One request form per unit only.
• 2009 SHAC Council Contingent dates (all will depart from Houston on the first date and will be home in Houston on the second date.

• Please indicate contingent date preference on the card by order 1, 2, 3, or 4. You will be offered the next closest available date if your card is drawn.
• A drawing will be held after April 3, 2008. You will be notified by telephone by April 7, 2008 if your card was drawn for the allocated space. (Please indicate what phone number to use for your confirmation)
***• If you are not contacted by April 9, 2008, your unit is on the waiting list & will be entered into a Second Chance Drawing.
• Expedition size: We have been approved for four (4) contingents; 4 crews per contingent and 48 participants per contingent for a total of 192 participants. (Youth and Adults) Crew size is 12 participants, including a minimum of two leaders.
• * Age requirements: Youth (14 by 1/1/09 or have completed the 8th grade and be 13 prior to participation)
• Adults in Crews: Each crew may have a maximum of two (2) adults. A crew may have only twelve (12) total participants. (NOTE: Adults and youth are classified as a participant.) Adults are 21 years of age or older.
• Please read Risk Advisory Philmont Scout Ranch. Adults … please take note and understand before you register the Philmont Weight Limits and Hypertension Statements. Do you meet?
• If your reservation card is drawn, spaces will be allocated for only one (1) crew of 12 … therefore, a $100 (Non-refundable) deposit per participant will be due on/by April 16, 2008. Your unit may share space with other(s) if in fact you only have a few Scouts who would like to attend, however, this will be your responsibility to fill the crew and submit the payments. You may request help from the Council “Waiting List.”
• When the draw for reservation requests are completed for the allocated council space, we will continue to draw to place groups on a “Waiting List” for 2009. A Waiting List will be maintained. In the event of a cancellation, the next available group will be contacted.
• Final Thought
• Please note that Philmont Scout Ranch has individual youth programs (ie. Rayado Trek, Trail Crew, Ranch Hands) that may have available openings. Secure applications through the Council Service Center or Contact Philmont directly at 505-376-2281.
If your unit has registered and will be participating in a trek in 2008 or 2009, your TREK request and draw card cannot be honored due to Philmont Registration Policy. |
Second Chance Drawing
***• If you are not contacted by April 9, 2008 … your “Unit Request Card for 2009” will be placed in a “Special” High Adventure Rally Second Chance Crew drawing (10 youth & 2 adults) on Saturday, August 23, 2008 at the Cockrell Scout Center. The “drawn unit” will be awarded 12 spaces and will need to forward $100 per participant on or by Friday, September 5, 2008 to Camping Services.
